In this guide

There is no single refund clock that covers every flight, hotel, payment method and country. A cancellation request, an approved amount and a completed payout are different milestones. The useful first question is: which milestone has actually been reached?
Start with the confirmation and any agreed refund proposal. Record the amount, currency, request date and most recent status. A statement that someone is checking the fare is not the same as a statement that money has been sent.
Separate the stages before counting the days
| Stage | What it establishes | Useful follow-up |
|---|---|---|
| Request received | The cancellation or refund enquiry has reached the booking channel. | Is any deadline or action still outstanding? |
| Conditions reviewed | The provider's rules and the proposed financial outcome have been checked. | What amount and deductions are proposed? |
| Action confirmed | The agreed cancellation or eligible refund has been recorded. | Which passengers, rooms or services are affected? |
| Payout processing | The agreed money-handling step is in progress. | Who is processing it and what reference is available? |
| Sent or credited | A transfer, credit or voucher has been issued. | Where should it appear and how can it be traced? |
A case may involve several organisations, but that does not remove any applicable legal deadline. Ask for the actual status and responsible party; avoid treating a long chain of suppliers as a complete explanation on its own.
Check whether a specific legal deadline applies
Airline cancellation and a passenger voluntarily giving up a restrictive ticket are different situations. Some legal frameworks specify refund duties and time limits for covered disruption. Their route, carrier, payment and acceptance conditions matter.
For example, the US refund-rule publication describes qualifying automatic refunds within seven business days for credit-card payments and twenty calendar days for other payment forms. This is not a global timetable for every hotel cancellation or every voluntary flight request. Consult the current DOT refund guidance for eligibility and who handles the refund.
For covered European journeys, use the EU passenger-rights guidance for the specific disruption and option selected. Do not substitute an informal processing estimate for an applicable right.
A hotel's cancellation deadline is not its payout date
A hotel rate's cutoff normally tells you when a cancellation can be made under particular financial conditions. It does not automatically state when the money will arrive. Read the cancellation confirmation and any separate processing information.
For example, a fictional cancellation accepted before a property's cutoff may still need its refund transaction to be processed. Conversely, being told a refund usually takes several days does not extend the original cancellation deadline. Our hotel cancellation checklist keeps those questions separate.
For crypto payments, distinguish approval from settlement
CryptoTraveler's published refund information uses the original recorded fiat value as the reference. Support confirms the eligible amount and available payout route for the case. It is not a promise that the original transaction reverses or that a new payment uses the same asset and quantity.
A blockchain transaction reference can help trace a crypto transfer only after one has actually been sent. It cannot show the progress of a request still awaiting review. For a bank payment, account credit or voucher, ask for the relevant reference rather than looking for an unrelated on-chain transaction.
Read how the reference value and coin amount differ and the current booking terms before agreeing receiving instructions.
Send one clear follow-up with the right details
Use the existing support conversation where possible. Include the booking reference, affected service, cancellation-confirmation date, approved amount, agreed method and last stated status. Ask which stage remains and when the next update is expected.
If the expected date has passed, ask for a traceable explanation and the next action. Keep the original correspondence and relevant payment records. Do not repeatedly submit a fresh cancellation request when you are trying to trace an existing refund; that can obscure what has already been agreed.
Refund timing questions
Does confirmed cancellation mean the money has arrived?
No. Confirm which stage the message records and obtain the payout or credit reference when it is available.
Does crypto guarantee an instant refund?
No. A possible settlement method does not eliminate eligibility checks or the need to approve and issue the refund.
Should I accept a voucher just because it is faster?
Compare its conditions and your options first. Our refund, voucher and credit comparison explains the questions to ask.
