Booking Travel for Someone Else: Names, Guests and Payment Details

Keep the account holder, actual traveler, lead guest, contact and payer clearly identified when arranging a flight, hotel or travel eSIM for another person.
In this guide

An organizer with a laptop sends a traveler-labeled ticket toward a second person with luggage, separating the organizing and traveling roles.

Arranging travel for a partner, relative or colleague means handling several roles that may belong to different people. The account holder, passenger, hotel guest, contact and payer should not be treated as interchangeable.

Check whether the selected product and payment method support the arrangement you need. Enter the real traveler's details in the fields that ask for them, and confirm any property or carrier requirements before paying.

Identify who belongs in each role

RoleInformation to useImportant distinction
Account holderThe person managing the CryptoTraveler account.Account ownership does not automatically identify the traveler.
Flight passengerThe person who will take the flight.Match the required passenger details to their travel documents.
Hotel lead guestThe named guest who will use the reservation as required.Check identification, age and arrival requirements with the property.
Booking contactA suitable person who can receive and act on updates.Contact details and passenger identity are separate fields.
PayerThe person using an accepted method to settle the order.Payment does not replace traveler or property requirements.

Review every field, including any details filled from an account profile. A familiar saved name can still be wrong for the booking you are arranging today.

Use the actual passenger's required flight details

For a flight, enter the person who will travel rather than the person organizing or paying. Check the required name, date of birth and any document information with the traveler before submission. Use the applicable airline instructions for formatting rather than inventing a shortened name or title.

Our passenger-name guide explains the matching checks. A correction or passenger substitution after booking is not something to assume will be free or permitted.

Read the selected itinerary, baggage and fare conditions with the traveler. If there are separate tickets or an airport change, make sure they understand the actual journey rather than receiving only the first departure time.

Put the appropriate hotel guest on the reservation

Enter the correct lead guest and complete occupancy, including children's ages where requested. Check the property's requirements for the guest who arrives, particularly identification, minimum age, room access and any deposit method.

A prepaid room does not establish that another person's payment card can be used for an arrival guarantee or that the payer can satisfy a card-in-the-guest's-name requirement from home. Ask the property about the specific arrangement before booking if the guest cannot meet a stated condition.

Our hotel deposit guide explains that separate requirement. For multiple rooms or families, use the occupancy guide and confirm who is assigned to each room.

If the guest will arrive late, arrange and retain the property's confirmation. A note entered as a preference should not be treated as acceptance of an essential arrival or room arrangement.

Keep contact and payment details accurate

Use a contact who can receive booking messages and coordinate with the traveler. Review the email address and phone number carefully, including the appropriate dialing information. Decide who will monitor changes during the trip.

Follow the selected payment method's requirements for the payer and billing details. Do not put a payer's name into a passenger field simply to make it match a payment instrument. If a third-party payment or property authorization requirement is unclear, ask CryptoTraveler support or the property before proceeding.

For crypto checkout, use the actual order's current invoice and verify asset, network, amount and deadline. Paying from another person's wallet does not itself settle the property's identification or deposit conditions, and a payment record does not replace the final reservation confirmation.

Arrange an eSIM around the recipient's device

When buying connectivity for another person, check their exact device, carrier unlocking and supported installation arrangement before selecting a plan. Your own phone's compatibility does not establish theirs.

Compare eSIM destinations, validity, activation rules and the services the recipient needs. Check the compatibility information and the device manufacturer's current instructions.

For a supported dual-SIM arrangement, Apple's official iPhone guide is one device-specific reference. Do not install a profile on your own phone just to test it for someone else without understanding the product's transfer and activation rules.

Share setup material securely with the intended recipient and make sure they can access the instructions when needed. Do not assume one profile is intended for every person's device.

Hand over the confirmations and a clear support plan

After payment, verify the final booking status and share the relevant itinerary, room information or eSIM instructions with the traveler through a suitable private channel. Include the references they need, the actual names and dates, baggage or room conditions, and any confirmed arrival arrangements.

Keep account access separate from the handover. Do not share an account password or wallet recovery information just to send a confirmation. Sign in to manage the order where appropriate and follow the access instructions supplied with the confirmation.

Agree who will contact support if something changes and which contact receives messages. Our travel document guide explains the difference between a payment receipt, reservation reference and boarding pass.

Booking for another person questions

Should the passenger name match the account holder?

Use the actual passenger's required travel-document details. The account holder and traveler may have different roles.

Does prepaying a hotel remove the guest's deposit requirements?

No. Check the property's arrival, identification and accepted deposit methods for the actual guest.

Can I install a recipient's eSIM on my phone first?

Do not assume that is permitted or reversible. Read the product's installation, activation and transfer conditions before doing so.

Can I assume the traveler's name can be changed later?

No. Review the selected product's conditions and resolve the correct details before paying.
