Choose a hotel rate by comparing the total price with the plans you may need to change. A free-cancellation rate normally has a deadline and conditions. A non-refundable rate can offer a lower price but restrict what you recover if you cancel. The exact offer decides the terms, including when you pay with crypto.
This guide is about choosing a rate before booking. If you already need to cancel, use our cancellation and refund guide for the next steps.
Compare rates for the same stay
Start with matching travel dates, guest allocation, room type and meal plan. A refundable breakfast rate and a non-refundable room-only rate do not isolate the cost of cancellation flexibility. Neither do two rooms with different occupancy limits.
| Feature | Flexible rate | Non-refundable rate |
|---|---|---|
| Cancellation | May be free before a stated deadline, then subject to a penalty. | May retain all or part of the booked amount if you cancel. |
| Date changes | Check separately; cancellation flexibility does not automatically make every change free. | May be restricted, chargeable or unavailable. |
| Payment timing | Read the payment conditions; refundable does not necessarily mean pay at the hotel. | Read the payment conditions; the cancellation label alone is not the full payment schedule. |
| No-show | Can carry a penalty even where earlier cancellation was free. | Can result in a substantial charge under the rate terms. |
Hotel policies vary by rate. For example, Hilton's cancellation guidance ties cancellation without a charge to the timeframe set by the hotel's policy. Do not apply one brand's direct-booking process or deadline to a CryptoTraveler reservation.
Work out what flexibility actually costs
Illustrative comparison, not a live hotel offer: the same four-night room and meal plan costs €400 on a non-refundable rate or €440 with free cancellation before a stated deadline. The flexible option costs €40 more overall, equivalent to €10 per night.
That extra €40 buys the cancellation conditions stated in the flexible offer. It does not promise you can cancel at any time, change every detail, or receive the original number of cryptocurrency units back. If a possible change would happen after the deadline, the more expensive rate may not solve that concern.
Ask what could change before arrival: flight dates, the number of guests, a work commitment or the length of the stay. Then compare those possibilities with the terms. Avoid inventing a probability of cancellation just to justify the cheaper rate.
Read the deadline as carefully as the price
Record the last cancellation date, the precise time, the time zone if stated, and the penalty after that point. If a time zone or condition is unclear, resolve it before booking. Do not assume a deadline is midnight in your own country.
- Is the penalty one night, several nights, the full stay, or another amount?
- Are any charges excluded from the refundable amount?
- Does the policy change for partial cancellation or a shorter stay?
- What happens if you arrive late or do not arrive?
- How do you submit a request, and what confirms its completion?
Save the booking conditions and confirmation together. If you need to cancel through CryptoTraveler, use the relevant account action where available or contact support early enough for the request to be handled. Sending a message is not itself confirmation that the reservation has been cancelled.
Keep cancellation, meals and local charges separate
A flexible room can still have a security-deposit requirement or locally payable tax. A non-refundable room can still include breakfast. Compare each part of the offer separately instead of treating one favourable label as a complete description.
Use our meal-plan guide to compare board options and our hotel deposit guide to plan arrival requirements. If your trip involves separate flight tickets, consider whether a disruption could affect the hotel arrival date.
Paying in crypto does not change the rate rules
The room rate decides cancellation eligibility; the payment method decides how the purchase is paid. Check CryptoTraveler's terms for the reference value and handling of an eligible refund. A refundable booking should not be described as a guarantee to return the same quantity of BTC, USDT or another asset originally sent.
Before paying, review the selected rate once more and use the current invoice. Availability and prices can change between comparing an offer and completing the booking.
Questions about hotel cancellation flexibility
Does free cancellation mean I can cancel on arrival day?
Only if the actual policy permits it. Many rates have an earlier cutoff or a penalty that begins before check-in.
Can I change dates instead of cancelling a non-refundable booking?
Check the rate and ask support about your specific booking. A non-refundable label does not create a general right to a free date change.
Should I always buy the cheapest rate?
Compare the actual saving with the restrictions and the changes you may need. The cheapest headline price is not enough to decide whether the stay fits your plans.
Search hotel stays, then compare the cancellation conditions of the available room rates before paying.
